Steps
- Make reservations. Inform seminar organizer(s) of travel plan.
- Finalize travel with feedback from organizer(s).
- Travel to SLAC, get reimbursement form, and give seminar.
- Leave SLAC, mail finished form back to SLAC and get reimbursement.
Airline Ticket and Car Rental
- Must fly a domestic (U.S. Flag) carrier to
San Francisco (SFO),
San Jose or Oakland.
Note also, SLAC does not reimburse international part
of airfare.
- For international flights, it may be possible to reimburse the part
of the flight within the U.S, but only
if the flight is on a domestic carrier.
- Book well in advance for a reasonable fare, and try to stay over a
Saturday night.
Get feedback from seminar coordinator before purchasing.
- For car rental, SLAC reimburses only for compact cars.
Furthermore, decline all additional insurance.
Your SLAC business visit is covered by Stanford University's policies.
- If you plan to drive to vacation, however, you should
get insurance
coverage for the vacation part of your trip.
Accommodations:
- For reimbursement purposes, SLAC requires that guests stay at the SLAC Guest House if space is available. Reservations for the Guest House can quickly and conveniently be made on-line.
- Should the Guest House be full during your travel dates please contact us immediately so that we may refer you to another local hotel.
- Creekside Inn: Request special SLAC rate when making reservations at the Creekside Inn.
Cardinal Hotel: Request the special SLAC rate when making reservations at the
Cardinal Hotel.
NOTICE: Parking can be difficult near the Cardinal since they don't
have their own lot. One possibility is to use the parking garage beneath
City Hall which is located "kitty-corner" to the Cardinal.
Over-night parking is free until 10 AM - check the signs to
be sure.
- SLAC will cover up to 5 days (per invitation) of hotel plus meal per-diem.
If you stay in friend's house, will only receive meal per-diem.
- Please give us feedback about your stay!
Reimbursement
- Get Travel Expense forms when at SLAC, from Natalie Cramar (650)926-3648. If you are not a U.S. citizen, you must visit the International Travel Office during your
stay as well.
Fill out all forms and mail them to us with ALL original receipts.
- For speakers shared with other institutions: Inform us
of the reimbursement breakdown when getting the Travel Expense Forms.
