In 2011, one was in Oxford and one will be at CERN. For 2012 we plan two meetings again, one in Spring and one in Autumn, and we will consider holding the Spring meeting outside CERN again. Experience has shown that having some ATLAS Upgrade Weeks hosted outside CERN not only benefit the Upgrade community in terms of different opportunities for interaction, but also often allow possibilities to visit upgrade relevant facilities outside CERN. Please note that bidding to host the October 2012 ATLAS Week outside CERN should not exclude bidding to host the Upgrade week. The site of the October 2012 ATLAS Week will be selected at the CB meeting on 14 October. We plan to launch the vote for the 2012 Upgrade Week shortly after. With this in mind, this mail solicits proposals to host the March 2012 ATLAS Upgrade Week. Possible dates are 12th-16th March or 26th-30th March 2012. Please indicate in your proposal which of these two dates you prefer. The ATLAS Upgrade Week outside CERN would typically consist of 4.5 days of meetings including periods with up to 4 meetings running in parallel. It is difficult to predict the attendance, perhaps a range of 200-250 people should be considered. As always, we would like to stress the importance of a modest financial frame, so that as many people as possible, including students and young post-docs, can participate. Please address the following points in your proposal: - Capacity of the plenary auditorium and number and capacity of smaller rooms for parallel meetings - Projection, network and video-conferencing facilities - Expected participation fees - Approximate accommodation costs, availability of cheap accommodation - Approximate costs for meals and other miscellaneous expenses - Transportation from nearest airport to the accommodations, and from there to the meeting place - Possibilities for laboratory visits - Possibilities for supporting participants (in exceptional cases where only limited travel funds are available). Please do not hesitate to contact us if you have questions when formulating your proposal. Any early indication that you are intending to submit a proposal would be highly welcome. *** The strict deadline for proposals is Friday 30th September 2011 *** As in the past, we will also have the option to choose a CERN-based meeting during the selection procedure.
